Before You Begin
> **Activation required:** The Knowledge Base module must be enabled before use.
> Go to **Settings → System Upgrade**, locate the **Knowledge Base** module, and activate it.
> Once enabled, the **Knowledge Base** menu item will appear in the CRM navigation bar.
Overview
The Knowledge Base module is a centralised place to store, organise, and share information within your organisation. You can create articles with rich content (text, images, videos, tables, code, and more), group them into categories, and control who can read each article using access levels.

Opening the Knowledge Base
- Log in to LoyalAxis CRM.
- Locate the top navigation bar.
- Click **Knowledge Base**.
- The Knowledge Base Dashboard opens.

Dashboard
The Dashboard is the home screen of the Knowledge Base. It shows several information widgets:
- **Total Entries** — the number of articles in the knowledge base, broken down by access level.
- **Total Categories** — how many categories exist.
- **Recent Items** — the five most recently created entries with quick-view links.
- **By Category** — a bar chart showing how many entries belong to each category.
- **Access Distribution** — a breakdown of entries by access level.
- **Most Active** — the top five categories ranked by entry count.
- **Quick Actions** — shortcut buttons to create a new entry, open the knowledge list, or go to category settings.
Customising the Dashboard Layout
You can personalise which widgets are shown and where they appear.
- Click the **Edit Dashboard** button (top-right of the dashboard).
- The dashboard enters edit mode. Each widget shows a dashed border.
- **Drag** a widget by its header bar to move it to a new position.
- Click the **×** button on a widget to hide it.
- To add a hidden widget back, click the **Add Widget** drop-down and select the widget.
- Click **Reset Layout** to restore the default arrangement.
- Click **Done** to exit edit mode.
Your layout is saved automatically in the browser and persists between sessions.

Creating a New Entry

**To add a block:**
- Click the **+ Add Block** button at the bottom of the content area.
- Choose the block type from the menu:
| Block Type | Use for |
|---|---|
| Text | Paragraphs, lists, bold/italic text, links |
| Heading | Section headings (H2/H3) |
| Image | Uploading or linking an image |

**To reorder blocks:** Drag the block by its handle icon to a new position.
**To delete a block:** Click the trash/delete icon on the block.
Step 3 — Select a Category

Step 4 — Set the Access Level
In the **Access Level** panel, click the radio button next to the appropriate level. The available levels are defined in Access Level Settings (see below). Common built-in levels include:
- **Public** — visible to all users.
- **Internal** — visible to signed-in team members.
- **Confidential** — visible only to users assigned to specific roles.
Step 5 — Set the Status
In the **Status** panel, choose:
- **Published** — the entry is live and visible to users with the correct access level.
- **Draft** — the entry is saved but not yet visible to other users.
Step 6 — Save
Click the **Save** button. A green success notification confirms the entry was saved.
Importing Content from a Markdown File
If you have a pre-written Markdown (`.md`) file, you can import its content directly:

- Select a `.md` file from your computer.
- The title (taken from the `# H1` heading in the file) and all content blocks are loaded automatically.

- Click **Category Settings**.
Adding a Category
- In the form on the left, fill in:
- **Category Name** (required)

- In the category table on the right, click the **pencil (Edit)** icon next to the category.
- The form on the left fills with the existing values.
- Make changes and click **Save Category**.
Deleting a Category
- Click the **trash (Delete)** icon next to the category.
- Confirm the deletion in the prompt.

Click the **pencil (Edit)** icon next to the level, make changes, and click **Save**.
Deleting an Access Level
Click the **trash (Delete)** icon. System levels (marked with a **System** badge) cannot be deleted.
